How to Make an RSVP Form in Google Forms
Open Google Forms and click the RSVP template in the "Start a new form" row, or start a blank form.
- Put the event name, date, time and place in the title and description.
- Ask for the guest's name and "Can you attend?" (Yes / No), both required.
- Add guest count, meal choice and dietary needs. Send guests who answer No straight to Submit form with .
- Click Published and share the link or a QR code.
Start from the RSVP template
- Go to forms.google.com.
- In the Start a new form row at the top, click RSVP. If it isn't there, click Template gallery and find it under the personal templates.
- Change the title and description to your event: name, date, time, address, and "Please RSVP by" with your deadline.
The template opens as "Event RSVP" with "Can you attend?" and "What are the names of people attending?" already filled in. Keep what fits your event and delete the rest. For a wedding or a formal dinner, a blank form is often quicker than editing the template.
Questions to ask on an RSVP form
Keep it short. Every extra question is another reason for a guest to leave it for later.
| Question | Question type | Tip |
|---|---|---|
| Your name | Short answer, required | Ask for the name on the invitation, so you can match replies to your guest list. |
| Can you attend? | Multiple choice, required | Two answers: "Yes, I'll be there" and "Sorry, I can't make it". |
| How many guests, including you? | Dropdown, 1 to 5 | A dropdown stops answers like "me + wife" that you can't add up. |
| Names of your guests | Paragraph | Needed for place cards and name badges. |
| Meal choice | Multiple choice | If guests choose for their plus-ones too, add one meal question per guest. |
| Dietary needs or allergies | Short answer | Leave it optional. |
| Email or phone | Short answer | For last-minute changes. Add response validation so it must be a valid email. |
If the invitation covers adults and children, ask two dropdowns ("How many adults?" and "How many children?") instead of one total. Caterers usually price them differently.
Skip the rest for guests who decline
A guest who can't come shouldn't have to scroll past meal choices. Sections fix that:
- Keep the name and "Can you attend?" in the first section.
- Click the Add section icon in the toolbar and move the guest count, meal and dietary questions into the new section.
- On "Can you attend?", click the three dots and choose .
- Set "Yes" to Continue to next section and "Sorry, I can't make it" to Submit form.
This only works on Multiple choice and Dropdown questions, and it moves guests between whole sections. You can't hide a single question on the same page based on an answer.
Settings for an RSVP form
- Leave Limit to 1 response off. It makes every guest sign in to Google, and older relatives without an account can't reply at all.
- Turn on Allow response editing (Settings, Responses) if guests may change their answer. They get an edit link after submitting.
- Send responders a copy of their response gives each guest an email record of what they said, if you collect email addresses.
- Get email notifications for new responses from the three dots on the Responses tab, so you see each reply as it arrives.
Share it and set a deadline
- Click Published and make sure responses are open.
- Click the link icon, tick Shorten URL and copy the forms.gle link for texts, emails or your wedding website.
- For printed invitations, turn the link into a QR code with the free QR code for Google Forms tool.
- On the deadline, stop accepting responses so late replies don't slip in. See how to close a Google Form. If the venue has a hard cap, you can also limit the number of responses.
See the headcount
The Responses tab shows a chart of Yes and No answers and each dropdown answer, but it doesn't add up guest numbers. For a total:
- On the Responses tab, click Link to Sheets and create a new spreadsheet.
- In an empty cell, add up the guest-count column, for example
=SUM(D2:D). - Filter the attendance column to "Yes" to get the guest list for the caterer.

Where Google Forms RSVPs stop
Google Forms handles a simple yes/no RSVP well. It gets fiddly once the form needs to react to answers, count people or take money for a ticket.
| What you want | Google Forms | FormNX |
|---|---|---|
| Free RSVP template | Yes | Yes |
| Skip questions for guests who decline | Yes, by section | Yes, any question |
| Show a question only if the guest brings a plus-one | Only with extra sections | Yes, conditional logic |
| Total guest count on the form | No, needs a Sheet | Yes, calculation field |
| Take payment for a ticket or dinner | No | Yes, Stripe on the free plan |
| Open RSVPs on a set date | No, close only | Yes, open and close |
In FormNX, conditional logic shows or hides any single question, so "Names of your guests" only appears when someone says they're bringing guests. A calculation field adds up adults and children while the guest fills in the form, and a schedule opens and closes RSVPs on the dates you set.
