How to Save Google Form Responses as a PDF
Google Forms has no PDF export button. Use the print window:
- Open Responses and click the three dots beside Link to Sheets.
- Click Print all responses.
- Choose Save as PDF and click Save.
For one response, open Individual and click its print icon. Google Forms can't make a PDF for each new submission by itself.
Google Forms to PDF: pick your method
There is no one-click way to export a Google Form to PDF. Google Forms has no "Export as PDF" button. Each method below uses the print window or Google Sheets.
| You want | Use this |
|---|---|
| All responses in one PDF | Print all responses |
| One response as a PDF | The print icon on that response |
| The blank form as a PDF | Print in the form menu |
| The answers as a table | Google Sheets, then download as PDF |
| A PDF for every new submission | Not built in. See the options |
How to save Google Form responses as a PDF
This is the quickest way to convert Google Form responses to PDF. You make the file from the print window.
- Open the form and click the Responses tab.
- Click the three dots next to Link to Sheets.
- Click Print all responses.
- In the print window, set Destination to Save as PDF.
- Click Save.
You get one PDF file with every response in it.
Where to find Save as PDF in your browser
| Browser | In the print window |
|---|---|
| Chrome | Set Destination to Save as PDF. |
| Edge | Set Printer to Save as PDF. |
| Firefox | Set Destination to Save to PDF. |
| Safari on a Mac | Click PDF at the bottom of the window. |
Two checks before you share the PDF
- It holds personal details. Names, emails and answers are all in the file. Send it only to people who should see them.
- It is a snapshot. Responses that arrive later are not in it. Save a new PDF when you need them.
Save one Google Form response as a PDF
- Open the Responses tab and click Individual.
- Use the arrows to go to the response you want.
- Click the print icon on that response.
- Choose Save as PDF and click Save.
You have to repeat this for each response. There is no way to save them all as separate files in one go.
Save a Google Form as a PDF (the form itself)
Use this to download the Google Form itself as a PDF. You get a blank copy of the questions.
- Open the form in the editor.
- Click the three dots at the top right.
- Click Print.
- Choose Save as PDF and click Save.
The PDF is a flat copy. Nobody can type into it. It is not a fillable PDF.
Print a Google Form on paper
Follow the same steps. In the print window, choose your printer instead of Save as PDF.
Get a PDF for every Google Form submission
Google Forms can't do this by itself. It doesn't make a PDF when someone submits. It doesn't email one either.
| Option | What you get | The catch |
|---|---|---|
| Response receipts | Google emails the respondent a copy of their answers. | It is an email, not a PDF. |
| An add-on | A PDF made from a Google Docs template, for each response. | Extra setup. Check the add-on's pricing first. |
| Apps Script | A PDF made by your own script. | You have to write and look after code. |
For a plain email on each new response, see Google Forms email notifications.
Add-ons are under the form's three dots, then Get add-ons. The script route is suggested in this Google Help thread.
How to download Google Form responses as a file
You can also export Google Form responses without the print window.
| You want | Do this |
|---|---|
| A spreadsheet file | Responses tab, three dots, then Download responses (.csv). |
| A live Google Sheet | Responses tab, then Link to Sheets. |
| The table as a PDF | In the Google Sheet, click File, Download, then PDF (.pdf). Then click Export. |
The CSV file opens in Excel, Google Sheets and Numbers. More in how to see responses in Google Forms.
Fix common problems with Google Forms PDFs
| What happened | How to fix it |
|---|---|
| Print all responses is grey | The form has no responses yet. |
| Download responses (.csv) is grey | Same reason. It turns on with the first response. |
| There's no Save as PDF | It is in the Destination list of the print window. See where it is in each browser. |
| There's no Print option | You opened the form as a respondent. Open it in the editor. You need edit access. |
| People can't type into the PDF | The PDF is a flat copy. Share the form link for online answers. |
| You need a signature on the PDF | Google Forms has no signature field. See how to add a signature to Google Forms. |
| A respondent wants a copy of their answers | Turn on response receipts. See how to see responses. |
Where Google Forms PDFs stop
The print window gives you a plain copy. You can't change how it looks. And every PDF is made by hand.
