Collect Payments With Squareโ€‹

The Square Integration in FormNX lets you take payments straight from your form. You don't need to build an online store, hire a developer, or write any code.

If you already run your business on Square, this integration keeps your form payments in the same Square account as everything else, so your payouts and your bookkeeping don't get split across two systems.

Your customer fills in your form, pays at the end, and the payment shows up in Square just like any other sale.

๐ŸŽฏ What You Can Use It Forโ€‹

You can build any kind of form in FormNX and put a Square payment behind it. A few of the most common ones:

  • Order forms: cakes, merchandise, hampers or made-to-order items, paid for up front.
  • Bookings and appointments: take a deposit or the full fee when someone books a slot.
  • Event tickets: sell early bird, standard and VIP tickets from a single form.
  • Donations: let supporters pick a suggested amount or type their own.
  • Invoices and balances: send a form link to a customer who still owes you money.
  • Course and membership sign-ups: collect the fee at the moment someone joins.
  • Rentals, entry fees, service packages and plenty more.

๐Ÿ”— How to Connect Square to Your Formโ€‹

Follow these steps in order. It takes about five minutes.

Step 1: Open your form's Integrate tabโ€‹

Open the form you want to take payments on, then click the Integrate tab at the top of the form builder.

Step 2: Find the Square blockโ€‹

Scroll through the list of integrations until you see the Square block.

Step 3: Click Connectโ€‹

Click the Connect button on the Square block. A panel opens asking for three values:

  • Application ID
  • Location ID
  • Access Token

Leave this panel open. You're about to go and fetch those three values.

Step 4: Get your three Square credentialsโ€‹

Look just below those fields. The panel shows a short guide titled "How to get your Square credentials". Those are the same steps listed here, so you can follow them right there without leaving FormNX.

Here they are in full:

  1. Open the Square Developer Dashboard and sign in with your Square account.

  2. Click + Create app, or open an app you've already made, and give it a name. Something like FormNX Payments works well.

  3. At the top of the app page, switch to the Production tab to take real payments, or Sandbox if you'd rather test first.

  4. In the Credentials section, copy the Application ID.

  5. Still in Credentials, click Show next to the Access token and copy it.

  6. Open Locations in the left-hand menu and copy the Location ID of the location you want payments to go to. If your business has more than one location in Square, take a moment here, because this decides which one gets paid.

Sandbox or Production? FormNX works it out for you

You don't have to tell FormNX which mode you're in. It detects Sandbox or Production automatically from the credentials you paste.

So you can safely test with Sandbox credentials first, then swap in your Production credentials when you're ready to go live.

Keep your Access Token private

Your Access Token works like a password for your Square account. Don't share it in emails, screenshots or public documents. If you ever think it's been exposed, revoke it in the Square Developer Dashboard and generate a new one.

Step 5: Paste the three values into FormNXโ€‹

Go back to the Square panel in your form and paste each value into its matching field.

Step 6: Click the Connect button below the fieldsโ€‹

Once all three fields are filled in, click the Connect button shown underneath them.

  • If the credentials are correct, Square is connected and added to your form.
  • If something is wrong, you'll see an error. Recheck the values and try again.

๐Ÿ’ฐ Setting Up What the Customer Paysโ€‹

Square is connected. Now you decide what amount each customer is charged. There are two ways to do it, so pick whichever fits your form.

The Products field is the easiest way to charge for things. It gives your form a real product catalog with a basket, so customers browse, choose and pay the way they would in any online shop.

With the Products field you get:

  • Product cards with images, prices and descriptions.
  • Options like size, color or flavor, each with its own price.
  • Quantity controls and a running basket total.
  • Tax, shipping (including free shipping over a set amount) and discount codes.
  • One single total handed to Square at checkout.

You don't work out any of the math yourself. FormNX adds it all up and passes the final basket total to Square.

Products is simpler than building totals by hand

You can work out an order total manually with a calculation field: a dropdown for the item, a number field for quantity, and a formula to multiply them.

But for anything that looks like a shop, the Products field is far simpler. It replaces all of that with one element, and handles tax, shipping and discount codes for you.

Option 2: Use a simple amount fieldโ€‹

For a single, straightforward amount, a plain Number field is all you need. Point the payment at that field and Square charges whatever it holds.

This is the right choice for:

  • Fixed-price bookings, such as a "$50 deposit".
  • Donations where the supporter chooses the amount.
  • Balance payments where you send the customer a link with the amount already set.

๐Ÿค Adding Other Payment Gateways Too (Optional)โ€‹

You don't have to pick just one. A single FormNX form can offer Square, Stripe, PayPal and Razorpay side by side, and the customer picks the one they trust at checkout.

Why you might:

  • Trust: some customers will only pay with the brand they recognize. Giving them the choice removes a reason to abandon.
  • Regions: different gateways are stronger in different countries. Offer the ones your audience actually uses.
  • Backup: if one gateway has an outage, customers can still pay with another.

To add another, complete the connect flow for that gateway on the same form. Or use Square on its own, whichever fits your audience and region best.

More options isn't automatically better

Two well-chosen methods usually convert better than four confusing ones. Start with the gateway your customers already use, and add a second only if you're seeing drop-off at the payment step.


๐Ÿงช Run a Test Payment Before You Go Liveโ€‹

Everything is set up. Before you share your form link or embed it on your website, place one test order yourself and check that:

  • The amount charged matches what you expect.
  • Tax, shipping and any discount code behave correctly.
  • The payment appears in your Square dashboard, under the right location.
  • The submission shows up in FormNX marked Paid.

A quick test now saves you from refunding a mispriced order later. If you'd rather not move real money, use your Sandbox credentials, then swap in your Production ones when you're happy.


๐Ÿงพ Tracking Payments: Paid vs Dueโ€‹

Your form is live and responses are coming in. Every submission that involves a payment carries a payment status, shown in the form's List Submissions view alongside the rest of the response.

StatusWhat it means
Paid โœ…The customer completed the payment at checkout.
Due โณThe form was submitted, but the payment wasn't completed. The customer left the checkout, the card was declined, or the browser closed.

You'll also see which method each customer paid with, so if you offer more than one gateway you can tell Square payments apart from Stripe or PayPal ones at a glance.

Square behaves the same way here as Stripe and PayPal do, so there's nothing new to learn.

You can still collect on a "Due" submission

Regenerate a payment link from that submission and send it to the customer so they can finish paying, without recreating the order from scratch.

Abandoned checkouts happen to everyone. Following up on them is where a lot of order-form revenue comes back.


โ“ Frequently Asked Questionsโ€‹

Which plan do I need for Square?

Where exactly do I get the Application ID, Location ID and Access Token?

All three come from the Square Developer Dashboard. The Application ID and Access Token are in the Credentials section of your app, and the Location ID is in the Locations menu. The same steps appear inside the Square block in your form, so you can follow along without leaving FormNX.

Do I need to tell FormNX whether I'm in Sandbox or Production?

No. FormNX detects the mode automatically from the credentials you paste. Sandbox credentials run in test mode, and Production credentials take real payments.

Can I test with Square before taking real money?

Yes. Connect using your Sandbox credentials, run a few test submissions, then replace them with your Production credentials when you're happy.

What happens if my credentials are wrong?

You'll see an error instead of a connected confirmation when you click Connect. Recheck all three values. The most common causes are a copied space at the start or end of the token, or credentials taken from the wrong tab (Sandbox vs Production).

Can I connect the same Square account to more than one form?

Yes. You can use the same Application ID, Location ID and Access Token across as many forms as you need. Just remember that each form has to be connected on its own, from that form's Integrate tab.

I connected Square on one form. Do my other forms have it too?

No. The connection belongs to the form you set it up on. To take Square payments on another form, open that form, go to its Integrate tab, find the Square block and connect it there with the same three credentials.

How do I charge for several products in one order?

Use the Products field. It handles the catalog, variants, quantities, tax, shipping and discount codes, then passes the single basket total to Square.

Do I have to use a calculation field to work out totals?

Not for product orders. The Products field does the math for you and is much easier to set up. Keep calculation fields for custom pricing logic that isn't a product catalog, like quote builders or scoring-based pricing.

Which currency will customers be charged in?

Payments are taken in the currency of the Square location you connected. If you sell in more than one currency, use the matching Location ID for each form.

Can I use Square and Stripe (or PayPal, or Razorpay) on the same form?

Yes. Connect as many gateways as you like on the same form and let customers choose the one they trust. You can also use Square on its own.

Where do I see whether a customer actually paid?

In your form's List Submissions view. Each payment submission is marked Paid or Due, and shows the method used. For full transaction history, refunds and payouts, use your Square dashboard.

A customer submitted the form but the status says Due. What now?

Their payment didn't complete. Regenerate a payment link from that submission and send it to them so they can finish paying. There's no need to recreate the order.

Your form is now ready to take payments through Square: orders, bookings, tickets, donations, fees and anything else you charge for, with the money landing in the Square account you already use.

Square is connected per form, not to your whole account

Connecting Square enables Square payments for your FormNX forms. To collect payments through Square, open the form you want to use, go to its Integrate tab, find the Square block, and connect your Square account there. Repeat these steps for each form where you want to accept Square payments.

The good news is that you only gather your credentials once. Keep your Application ID, Location ID and Access Token somewhere safe, and connecting each new form is just a matter of pasting the same three values and clicking Connect.
