📁 Form Folders

Folders help you keep a busy workspace tidy. You can group forms by client, project, event or anything else that makes sense to you, and open one folder to see only the forms inside it.

How folders work

  • Folders belong to a workspace. Each workspace has its own folders. Everyone in the workspace sees the same folders.
  • A form can be in one folder at a time. Forms that aren't in any folder are listed under Unfiled.
  • Folders are only for organizing. Moving a form into a folder doesn't change its link, embed code, responses or integrations.
  • Folders are flat. You can't put a folder inside another folder.
When do folders appear?

Folders show up on the My Forms page once your workspace has at least 3 forms and has received at least one response. If your workspace already has a folder, they always show.

The folder bar

At the top of the My Forms page you'll see the folder bar:

  • All forms: every form in the workspace. In this view, each form card shows the name of its folder. Click the folder name to open that folder.
  • Unfiled: forms that aren't in a folder yet. This appears once you have at least one folder.
  • Your folders: each folder with the number of forms inside it.
  • + New folder: creates a new folder.

Click any of these to see only those forms. The Sort by option and the search box work inside the folder you're viewing.

Create a folder

  1. Go to My Forms.
  2. Click + New folder in the folder bar.
  3. Enter a Folder name and click Create folder.

Folder names can be up to 60 characters, and each folder in a workspace needs a different name.

You can also create a folder while moving a form. See Move forms into a folder below.

Move forms into a folder

Move one form

  1. On the form's card, click the ⋮ menu.
  2. Click Move to folder.
  3. Pick a folder, or pick + New folder and type a name to create one.
  4. Click Move.

Move several forms at once

  1. Tick the checkbox on each form card you want to move. The toolbar shows how many forms you've selected.
  2. Click Move to folder in the toolbar.
  3. Pick a folder (or + New folder) and click Move.

Take a form out of a folder

  1. On the form's card, click the ⋮ menu and click Move to folder.
  2. Pick No folder (Unfiled).
  3. Click Move.

The form now appears under Unfiled.

Rename a folder

  1. In the folder bar, click the ⋮ next to the folder name.
  2. Click Rename folder.
  3. Type the new name and click Save.

Delete a folder

  1. In the folder bar, click the ⋮ next to the folder name.
  2. Click Delete folder.
  3. FormNX tells you how many forms are inside. Click Delete folder again to confirm.
Your forms are safe

Deleting a folder does not delete the forms inside it. They move to Unfiled, with all their responses and settings.

New and duplicated forms

  • If you create a new form while viewing a folder, the new form is saved in that folder.
  • When you duplicate a form, the copy goes into the same folder as the original.

Moving a form to another workspace

If you move a form to a different workspace, it is taken out of its folder, because folders belong to one workspace. You can then put it in a folder in the new workspace.

Who can manage folders?

Workspace Admins and Members can create, rename and delete folders and move forms between them. Viewers can open folders and browse forms, but can't change them. See Workspace Management for more on roles.
